Release Notes - Custom Fields, Manage Policies, and More

This release is about sweating the details across the parts of XILO you touch every day. Admins get more say over how intake forms behave, your AMS360 and Outlook integrations got noticeably more reliable, and managing policies, custom fields, and permissions in your CRM is smoother than before. Here's what's new.

Intake Forms

Decide How Your Intake Forms Behave

This release hands admins more control over the submission experience itself. Two new form settings let you shape how agents interact with a form:

  • Show or hide the Save button on any intake form: so you decide whether agents can save partial progress or are guided straight through to submit.
  • Lock down "Other" dropdown fields: toggle whether dropdowns with an "Other" option accept free-text. Turn it off to keep stray custom values from breaking your downstream integrations, or leave it on when you need the flexibility.

A few more intake fixes:

  • Optional fields are optional again: we fixed an issue where optional fields could block a submission as if they were required.
  • No more crashes on large documents: we resolved a crash that occurred when extracting a very large number of items from an uploaded document.

CRM

The New "Manage Policies" Modal

Until now, working through a client's policies meant handling them one at a time. The new Manage Policies modal on the Client Profile gives you a single, streamlined view to add and edit policies — including managing several at once. Rolling out to all accounts very soon.

A few more CRM updates:

  • A dedicated home for Custom Fields: client custom fields have moved out of CRM Pipelines into their own "Custom Fields" section in Settings, a more intuitive spot that's easier to find and manage.
  • Smarter client creation: phone number fields now validate US formatting and flag invalid entries inline, whether you're adding a client from the platform or the Chrome Extension. The Create Client stepper also adds a Back button and disables stray navigation clicks, so you won't lose your place.
  • More control over dashboards and reports: new write permissions let you decide who can create and edit dashboards and reports. And if you change a report's filters, XILO now warns you before saving so you don't overwrite a view by accident.
  • Clearer file uploads: uploaded files are now clearly visible in the document management dialog.

Automations

More Powerful Assignment Rules

Routing leads and tasks where you want them just got more precise. The assignment rule system has been significantly upgraded: you can now manage fallback rules more effectively, including overriding an existing fallback when you create a new rule. We've also refreshed the styling and added a tooltip so the options are clearer at a glance.

Tighter AMS360 and Outlook Integrations

We put real work into the connections you rely on:

  • AMS360 required-field warnings: the push validator now surfaces warnings for empty-but-required fields (like Employee Code) that were previously skipped. No more silent failures.
  • AMS360 email attachments: emails sent from XILO are now automatically attached to the matching client in AMS360, so your record-keeping stays complete without any extra steps.
  • Faster access to vendor responses: the parsed AMS360 vendor response now includes a direct link.
  • Smoother Outlook connections: we've improved connection handling for the Outlook email integration, with clearer status and error messages, especially during authentication.

A few more automation updates:

  • Sortable Workflow Table: columns in the Workflow Table are now sortable, making it easier to organize and find what you need.
  • Clearer data-pull errors: error messages are now clearer when you start a data pull with incomplete fields, so you know exactly what to fix.

The Manage Policies modal is rolling out to all accounts shortly; everything else is live now in XILO. If you have any questions or want to learn more, reach out to your account manager.
