Release Notes - Shareable Carrier Memories, Client Collaborators, and Client Profile V2

This release is about sharing the work. What one person learns about a carrier can now be handed to the whole team, clients can have several collaborators instead of a single owner, and assignment rules are something you can build yourself without writing a line of JSON. Here's what's new across the Quoting Agent, Intake, CRM, and Automations.

Quoting Agent

Build and Share Your Carrier Memories

Until now, adding or editing a Memory meant starting a session first. There's a new Memory panel instead: click "Select Carrier" and you'll find it at the top. Add and edit Memories whenever you like, session or no session.

Memories also no longer have to stay with the person who wrote them. Click "Export Memory" to download yours, send the file to a teammate, and they click "Upload Files" to import it. What one agent works out about a carrier, everyone gets.

Your Carrier List, Your Way

Mark the carriers you use most as favorites and they'll pin to the top of your carrier list. And if a carrier you work with isn't on the list at all, click "Add it here" and give us the starting URL for its quote form.

Reports Ordered Automatically

The quoting agent now orders reports as part of a quoting run, including replacement cost estimates. Ordering happens earlier in the run, before the quote is pulled, so the results are in place when you need them.

Intake Forms

Every Vehicle on the Dec Page

Uploading a declarations page with several vehicles used to risk only the first one landing in the form. Document extraction now picks up all of them, and the same improvement applies across repeating sections, so multi-vehicle and multi-driver documents come through complete.

Jump Straight to the Section You Need

XILO-generated summary PDFs now include structured bookmarks. Instead of scrolling through the whole document, agents can move between sections directly.

A few more intake updates. Reopening an existing customer form for editing now highlights the radio button options that were already chosen, so your selections stay visible. Custom PDF documents are now consistently attached to notification emails, exactly as configured. And we fixed the date formatting on submission PDFs.

Collaborate on Clients

A client used to belong to one person. With the new Collaborators feature you can assign and manage several collaborators on a client directly from the client list and card views, so your team can see who's working a client now, who worked it before, who's watching, and more.

Collaborators can be managed wherever you happen to be. There's a collaborator selector on the client details page for individual changes, and a bulk action on the main clients view for reassigning collaborators across many clients at once.

The New "Add a Quote" Modal

Adding a quote by hand is now a single guided dialog on the Client Profile. Create the quote, then either link it to an existing policy or create a new one, with smart policy suggestions to speed up the match. You can upload documents as you go and watch the progress, and when you're done the dialog offers clear next steps, whether that's adding another quote or sharing this one with your client.

We've launched the new Client Profile V2 page, a major step in modernizing client management that includes a new submission flow. Contact your XILO Customer Success Manager to learn more.

A Few More CRM Updates

Editing an HTML email in the "Move Stage" dialog no longer means working in raw code. You now edit the email exactly as it will appear, while plain text emails keep the standard text box. You can also add CC recipients to emails sent from the platform, including when you share PDF forms.

Moving a client into a stage with required fields or attached workflows, like "Sold," now brings up a confirmation dialog so nothing gets skipped. And when a bulk action can't process a client, for example one with no assigned agent, it's now logged as skipped instead of throwing an error, so you can see exactly what was left out.

Automations

Build Assignment Rules Without Writing JSON

The Assignment Rules interface has been completely rebuilt. In place of raw JSON, there's a condition builder with real-time validation, so complex routing is something you can set up, read back, and adjust yourself.

Fire Station Distance, Researched for You

XILO can now research fire station distance and protection class automatically, applying the rules that are specific to each state. One less lookup to chase down by hand.

More Control Over Running Workflows

Workflows can now be triggered by policy status changes, so a policy moving into a new status can start the follow-up it needs. And if a workflow is already running, you can now cancel it in progress rather than waiting it out.

Better Integrations and Cleaner Data

We put real work into the connections you rely on. Mobile Home policies are now supported in the Applied Epic integration, with full data synchronization and updates. Admins can now select specific document types for AMS360 activities, for more granular control over what gets filed where. Client relationship data is now available within Sagitta.

On top of that, the Quotes integration is now enabled in Agency Zoom and attachments are supported, you can now upload .eml and .msg files in the Epic activity panel, and AL3 integrations now support Directors & Officers data.

A Few More Automation Updates

A new multi-select dropdown lets you filter the Task History page by one or more form names, so finding a specific log takes seconds. And workflows now support Pages, opening up longer and more dynamic journeys.
